MyTime offers flexible membership configurations, ranging from item credits for products, services, and classes to dollar-value credits and exclusive discounts. This article provides an overview of membership capabilities and key considerations before setting up your membership templates.
Things to know:
- To sell memberships, your account must have an active Membership subscription. Franchise accounts should contact their Account Manager or support@mytime.com to enable this feature.
- The ability to create memberships is governed by the "Memberships" access control setting.
For franchise businesses, the memberships can be created at the global (parent) level or the franchisee (child) level.
If a membership template is deleted, its name cannot be reused for a new membership.
Family Member & Pet Sharing Options
Individual Family Member / Pet: The membership is restricted strictly to the specific family member or pet selected at purchase.
All Family Members / Pets: The membership benefits can be shared and used by the main account holder or any linked family member/pet.
- Membership Types & Billing Guidelines
- You can set up memberships using three main benefit structures:
- Item Credits: Members receive a specific number of free services, classes, or products per billing cycle (weekly, biweekly, or monthly), with optional rollover for unused credits.
- Value Credits: Members receive a dollar amount to spend on eligible items each billing cycle, with optional rollover for unused credits.
- Discounts: Members receive percentage or dollar discounts on services, products, and classes.
- Flexible Distribution: Credits can be issued upfront, weekly, biweekly, or monthly.
- Location Pricing: Membership prices can vary by location or location group.
- Irreversible Settings: Once a membership configuration is saved, its contract period and billing frequency cannot be edited.
- You can set up memberships using three main benefit structures:
- Credit Expiration, Redemption & $0 Memberships
- $0 Memberships:
- Membership prices can be set to $0 (free) or to any amount of $0.50 or higher. Prices greater than $0 but less than $0.50 are not supported and will trigger the error message “Must be 0 or at least 0.5.
- By default, $0-priced memberships do not generate recurring benefits (such as credits and discounts) after their initial cycle. However, enabling the "Give benefits to $0 memberships after each payment" setting changes this behavior:
- Enabled: Members with $0 memberships receive new credits and discounts on their scheduled billing dates, even though no payment is collected.
- Disabled (Default): The membership remains active, but no new credits or benefits are issued after the initial billing cycle since no payment is tied to the membership.
- Default Expiration: By default, membership credits expire one year after issuance. For indefinite memberships, a custom expiration period can be defined in the template or on the client profile.
- Credit Redemption: A membership credit is considered redeemed when a ticket is saved or closed, when an appointment/class is marked completed, or once the scheduled appointment/class start time has passed.
- $0 Memberships:
- Staff commissions for membership-covered items depend on your configuration settings:
- Membership Discounts: Commission can be calculated on either the pre-discount or post-discount price, depending on the Calculate Staff Commissions toggle on the Membership Discount tab.
- Item Credits: Commission can be calculated using either the internal price defined on the Membership Credit tab or the standard retail price of the item.
