Time Tracking Report

This report includes clock-in and clock-out times, as well as the total hours worked for each staff member.


Things to know:

  • Access to this report is managed through the “Accessing Reports” access control setting
  • It is only available when the “Do staff members need to clock in/out?” setting is enabled under Business Setup > Settings
  • Staff members who have not clocked in will not appear in the report
  • Displays a detailed log of all edits made to clocked hours for a specific staff member and date, as recorded in the Clocked Hours Audit Trail
  • The “Match Schedule” column compares clocked hours against a staff member’s default schedule only and does not factor in any custom hours. Example: If a staff member’s default schedule is 9:00 AM to 5:00 PM, but they were assigned custom hours of 10:00 AM to 6:00 PM on a specific day, the report will still compare their clocked hours to the default 9:00 AM–5:00 PM schedule. As a result, even if the staff member clocked in and out exactly at 10:00 AM and 6:00 PM, the system would flag a mismatch.

To access this report:

  1. Navigate to Dashboard
  2. Select the Reports tab
  3. Under the Staff section, select the Time Tracking report

When the report opens, you can filter by a specific location, staff, and date. You also have the ability to export to Excel, PDF, or print. Once you have selected your filters, click on the UPDATE button to generate the desired data.


Report Filters


FilterDescription
LocationThe location the staff member is associated with.
  • Accounts with One Location: No location filter is shown
  • Accounts with Multiple Locations: The location filter allows you to view data for a specific location or all locations within that account
StaffThe staff member whose time is being tracked
DateThis range will determine the time period being tracked.


Report Columns


ColumnDescription
StaffThe name of the staff member. 
LocationThe location the staff member is associated with. 
Clock-InThe date and time the staff member clocked in. Clicking this will open the "Edit Clocked Hours" modal. Here, you can also select the Clocked Hours Audit Trail icon to view a detailed history of all edits made to clocked hours.
Clock-OutThe date and time the staff member clocked out. Clicking this will open the "Edit Clocked Hours" modal. Here, you can also select the Clocked Hours Audit Trail icon to view a detailed history of all edits made to clocked hours.
Match Schedule

Indicates if the clock-in/clock-out time was within 5 minutes of the scheduled time. 

True: The clock-in/clock-out time was within 5 minutes of the scheduled time. 

False: The clock-in/clock-out time was not within 5 minutes of the scheduled time. 

Category Indicates the hourly work type the staff member clocked in under.
Hourly Work TypeTotal hours clocked for a specific hourly work type.
Rest HoursTotal hours clocked for a designated rest or break type.
Total HoursThe total number of hours the staff member clocked in for the selected period.



Clocked Hours Audit Trail


The Clocked Hours Audit Trail provides a detailed record of any edits made to staff clock-in and clock-out times. The table below describes each column in the report:



ColumnDescription
Timestamp
The date and time when the edit was made. The time shown is based on the location's time zone.
Field

The entry shows if it is a staff clock-in or clock-out and the type of work selected.

Action

Indicates whether the clocked hour or work type was added or updated for the specified time.

Previous Value

The original clock-in or clock-out date, time, and work type before the edit.

Current Value
The updated clock-in or clock-out date, time, and work type after the edit.
Modified By
The staff member who made the edit to the clocked hours.
Device Type
Device Type The type of device used to make the edit (e.g., desktop, or mobile).
IP Address
The IP address of the device from which the edit was made
