Managing Hourly Work Types

MyTime allows you to assign different hourly work types to your staff so they can clock in for specific activities such as productive time, breaks, training, administrative tasks, and more. You can also set custom hourly pay rates for each work type, if desired.


Things to know:

  • The ability to create, edit, or delete hourly work types is governed by the "Accessing Staff & Availability" access control setting.
  • Productive Time: 
    • Marking a work type as 'Productive' categorizes the hours as 'Production Hours' in the Time Tracking reports.
    • Only service providers can clock in under a productive work type. Other staff roles are limited to non-productive options.
    • Productive hours contribute to commission calculations (if applicable) and appear in both the Time Tracking and Compensation reports.
  • Rest Time:
    • Marking a work type as 'Rest Time' designates those hours as 'Rest Hours' in the Rest Hours column of the Time Tracking report. 
    • Staff must first clock in under another work type before the 'Rest Time' work type appears as an option on the schedule.
  • Administrative Time:
    • If neither the Productive nor Rest Time boxes are selected, the hours are considered 'Administrative Time'.
    • These hours appear as Admin Hours in the Time Tracking report.
    • Admin hours do not count toward productivity and are excluded from commission calculations.
  • Commission Eligibility:
    • If a staff member is clocked in under a non-commission-eligible work type, they will not earn commissions on services performed or products sold during that time.
  • Work types are displayed on the staff schedule and in reports in the order they were created.
  • If work types are renamed, both past and present clocked-in/out hours will be updated to reflect the new work type. Additionally, reports will display the new work type instead of the original one under which the staff clocked in.
  • Renaming Work Types: 
    • If you rename a work type, the change applies retroactively. Both past and present clock-in/out records and related reports will reflect the updated name.

Creating Hourly Work Types


To create hourly work types:

  1. Navigate to Business Setup > Staff & Availability 
  2. Scroll to the bottom of the Staff & Availability page and click the button that says Hourly Work Types  
  3. The "Hourly Work Types" modal will appear. Here you can enter different types of hours you would like to track, such as productive hours, breaks, etc. To add an hourly work type, click the "+Add Hour Types" hyperlink 
  4. A field will appear for you to enter the work type 
  5. You can configure each work type by selecting the appropriate checkboxes:
    • Productive Time: Marks the work type as productive, typically used for billable hours or service-related tasks.
    • Rest Time: Designates the work type as a break or lunch period. The staff member will be clocked out, but the system will track the break duration. The break ends automatically when the staff member clocks back in.
    • Eligible for Commission: Allows staff to earn commission while clocked into this work type. 
  6. Once you are done, click "Save"
  7. The added work type will now be visible on the "Hourly Work Types" list. Click "Close" to close the modal 
  8. On the schedule, your staff members will now be able to clock in using the added work type
  9. Staff members' clocked hours can be modified by hourly work type, and the time tracking and compensation reports will reflect these changes.


Editing Hourly Work Types


To modify hourly work types:

  1. Navigate to Business Setup > Staff & Availability
  2. Scroll to the bottom of the Staff & Availability page and click the button that says Hourly Work Types                                   
  3. The "Hourly Work Types" modal will appear 
  4. Locate the work type you would like to edit and hover over it
  5. The "Edit" and "Delete" options will appear 
  6.  Click "Edit," and the option to edit the work type will now be available 
  7. Once done, click "Save"
  8. The updated work type will now be visible on the "Hourly Work Types" list 
  9.  Click "Close" to close the modal
  10.  On the schedule, your staff members will now be able to clock in using the updated work type.


Deleting Hourly Work Types


To delete an hourly work type simply:

  1. Navigate to Business Setup > Staff & Availability
  2. Scroll to the bottom of the Staff & Availability page and click the button that says Hourly Work Types                                                                                                                                                                                                        
  3. The "Hourly Work Types" modal will appear 
  4. Locate the work type you would like to delete and hover over it
  5. The "Edit" and "Delete" options will appear 
  6. Click "Delete," and a pop-up will appear for you to confirm the deletion of the work type 
  7. Once you type "delete" and click the "Delete" button, the work type will be removed from the "Hourly Work Types" list  
  8. On the schedule, the deleted work type will no longer be available as an option for staff members to clock into.
