Membership Cancellations Report

The Membership Cancellations Report tracks memberships that have been terminated within a selected timeframe. Data is populated based on the membership's termination date, providing a clear view of when memberships officially ended.


Things to know:

  • Access to this report is managed via the "Accessing Reports" access control setting.
  • This report is only available to businesses with active membership settings.
  • To populate this report, membership cancellation reasons must first be enabled and configured at either the parent or child level. Learn more here
  • This report can be viewed at the parent and child level
  • The report includes data for cancellations made both in-store and online.


To access this report:


  1. Navigate to Dashboard
  2. Select the Reports tab
  3. Under the Clients section, select the Membership Cancellations report


When the report loads, you can filter by a specific location and date. You have the option to export the report as a CSV, PDF, or print version.

 


Report Filters


FilterDescription
LocationThe location where the membership was purchased
  • Accounts with One Location: No location filter is shown
  • Accounts with Multiple Locations: The location filter allows you to view data for a specific location or all locations within that account
DateThe date the membership termination was requested


Report Columns

 

ColumnDescription
LocationThe business location where the membership was originally purchased. 
Termination DateThe official date the membership was canceled
Client The name of the client associated with the membership
Membership The name of the membership.
StatusThe current status of the membership (e.g., Canceled, Pending Cancellation)
Cancellation ReasonThe reason selected by staff or the client during the cancellation process
Canceled ByThe name of the staff member who processed the cancellation.
Date of RequestThe date when the client or staff member first initiated the request to terminate the membership

For example: A client named Janethas a monthly membership that renews on the 1st of every month. She decides she wants to stop her membership in April.
  • March 15, 2026: The staff member enters the cancellation request into the system that afternoon.
  • March 31, 2026: This is the last day Janet is allowed to use the gym under her current paid period.

  • April 1, 2026: The membership officially moves to "Canceled" status and she is no longer billed.
