With MyTime, you can sync your Outlook calendar to your Scheduler. This works similarly to the Google Calendar sync integration. The sync happens whenever there's an update on either side. So if an event is added to the Outlook calendar, then sync happens with MyTime. Similarly, if an appointment/event is added to MyTime, then sync with Outlook is triggered.
Things to Know:
- The ability to sync Outlook Calendar with MyTime is governed by the "Accessing Staff & Availability" access control setting.
- Changes made in MyTime will sync to Outlook Calendar, and changes made in Outlook Calendar will sync back to MyTime.
- Canceling an appointment in MyTime will remove the corresponding event from Outlook Calendar.
- Each staff member can sync with one external calendar.
- The same calendar can be synced to multiple staff profiles
- Canceling an appointment in MyTime will automatically remove it from the Outlook calendar.
- If the Outlook calendar is disconnected and later reconnected for the same staff member and calendar, any appointments created during the disconnect period will be synced to Outlook.
- After disconnecting the sync, future changes in MyTime will not update in Outlook. However, previously synced events will remain in Outlook and must be manually deleted if needed.

Synchronize Outlook Calendar With MyTime
- Log in to your MyTime account.
- Navigate to Business Setup > Staff.

- Select the staff member whose schedule you want to connect to Outlook
- In the staff profile, click Sync External Calendar

- Select Microsoft Outlook 365 calendar

- If you're not already signed in to Outlook, you'll be prompted to do so.
- Grant MyTime access to your Outlook calendar

- Select the Outlook calendar where MyTime appointments should appear.

- Once the connection is successful, the staff member’s profile will display “Microsoft Outlook 365 Synced.” The date and time of the most recent sync will also be shown.

Viewing External Calendar Events on the Schedule
To ensure Outlook events appear on your MyTime schedule:
- Confirm that “Display external calendar events on Schedule” is set to Yes.

- After setup is complete, Outlook calendar events will appear on the MyTime schedule and automatically block those time slots to prevent double bookings.
