When adding or editing staff member profiles, you can set or reset their passwords. Additionally, staff members can independently set or reset their passwords if access control permits. In this article, we will walk through the password set/reset flow on staff profiles.
Things to know:
The ability for staff members to set or reset passwords on their profiles is governed by the 'Setting Staff Passwords' access control.
You can mandate a strong password and set the minimum password length for your business. When the strong password setting is enabled, new passwords or resets must adhere to the following criteria:
Meet a minimum password length of 8 characters
- Include at least one lowercase character
- Include at least one uppercase character
- Include at least one number
- Include at least one special character (symbol)
- When a staff member’s password is changed, either from their staff profile or through the password change email—the system automatically logs them out of all active sessions across every device and browser. Once the password is updated, the old password can no longer be used to access the system. For example, if a staff member changes their password from their phone, they will be automatically signed out on all other devices, such as their desktop or tablet. If they try to log in using the old password, an “Authentication Problem” pop-up will appear, prompting them to log in again with their new password.

Enable Strong Password and Length
To enable a strong password and/or configure the desired password length:
- Navigate to Business Setup > Settings
- Locate the Staff section
- Toggle the "Require Strong Passwords?" to YES
- Enter the desired minimum password length.

Create Passwords for Staff Profiles
If a staff member hasn't created a MyTime account and you need to set a password for them in-store, you can follow these general steps:
- Navigate to Business Setup > Staff & Availability
- Select the staff member's profile for whom you want to set a password
- Click on the "Set Password" hyperlink below their username or email address
- In the modal that appears, enter a secure password for the staff member, then hit the Set Password button
- Save the profile
Reset Passwords for Staff Profiles
To reset a staff member's password in-store:
- Navigate to Business Setup > Staff & Availability
- Select the staff member's profile for whom you want to reset a password
- Click on the "Reset Password" hyperlink below their username or email address
- In the modal that appears, enter a secure password for the staff member
- Click the Reset Password button
- Save the profile
