Customizing Cancellation Policy Message

The cancellation policy message in MyTime allows businesses to clearly communicate their cancellation and rescheduling rules, including required notice periods, applicable fees, and specific instructions. This article will walk you through the steps to set up and customize your cancellation policy message.


Things to Know:

  • Once a cancellation policy is set up, it applies to both canceled and no-show appointments, as well as new and existing client bookings.
  • The cancellation window can be defined in hours or days.
  • If a cancellation policy is applied to services, clients can cancel their appointment outside the cancellation window only if the appointment is still in a pending state. Once the appointment is accepted, the cancel link will no longer be visible, preventing clients from canceling online.
  • You can charge a cancellation fee if clients do not adhere to your policy. Learn more here
  • If no custom message is added, the system will default to the standard cancellation policy based on your company’s settings.

To customize cancellation policy message:


1. Go to Business Setup > Settings

2. Navigate to the "Cancellation Policy" section

3. Enter your preferred cancellation message in the "Cancellation Policy Message" field 

4. Save changes


Scenarios


The cancellation policy message will be displayed in the following scenarios


Booking appointments online


When clients book an appointment online, the configured cancellation policy message will be displayed during checkout.

Viewing upcoming bookings


The configured cancellation policy message will be displayed when clients view the details of their upcoming bookings.


Booking appointments on the Guest App


When clients book an appointment via the Guest App, the configured cancellation policy message will be displayed during checkout.


Viewing upcoming appointments on the Guest App


The configured cancellation policy message will be displayed when clients view the details of their upcoming bookings.
