Creating Virtual Classes and Events

MyTime gives you the ability to set up virtual classes or events so that attendees can participate from the comforts of their homes or offices. For a client to "join" a class or event that has been set to virtual, you must supply a virtual event URL (such as a Zoom link, Google Meet, etc.). In this article, we will walk through the steps for creating virtual classes or events.


Things to know:

  • Before setting up the virtual class or event, you must create a virtual link that your clients can click to attend the class or event
  • The virtual link will start working 15 minutes before the class or event starts. Until that time, it will show the client a message to try later. If they cancel, they will instead see a message informing them they have canceled their class or event. Otherwise, they get redirected to the event URL.


Creating a Virtual Class or Event:

  1. Navigate to the Scheduler 
  2. Filter by the desired location and date
  3. Click on the ‘Schedule Class/Event’ button below the calendar on the left-hand side of the Schedule or on a specific time slot directly in the schedule
  4. When the class modal opens, you can fill in the required information
    • Store: The primary location of the class
    • Associated Locations: Locations associated with the class
    • Event Name: The name of the class
    • Event Location: For virtual events, select Virtual                                                                                                            
      • An additional field will be exposed to enter the virtual link 
    • Time: The start and end times of the class
    • Instructor: Staff members that can conduct the class session
    • Resource: Resources required for the class session 
    • Attendee Types: This will be prefilled based on what was configured on the classes tab  
    • Limit: The maximum number of attendees that can be accommodated. This will be prefilled based on what was configured on the classes tab; however, it can be adjusted. 
    • Price: The amount the client will pay to attend the class session.  This will be prefilled based on what was configured on the classes tab; however, it can be adjusted. 
    • Description: Any specific details you would like to add about the class
    • What to Bring: Items needed for the session This field is optional. - 
    • Notes: Any specific notes you wish to add                                                                                                     
  5. At the bottom of the modal click "Save"


Identifying Virtual Classes and Events

Once the virtual class or event is created, you can view it on the scheduler. It will include the virtual icon:


The virtual link will be shown in the "Booked" email for classes and events. Clicking the Virtual Event link will direct the client to the event or advise that it has not started                                                                                                                                                           


Viewing the class/event roster, you will see the class/event virtual URL listed as the Event Location:


The image below shows what the client will see online when viewing their booking for the virtual class/event
