Lapsed Client Report

This report shows your clients who have not had an appointment for a specific period and don't have an upcoming appointment.


Things to know:

  • The ability to access this report is governed by the "Accessing Reports" access control settings
  • The report only includes clients who have not had an appointment within the chosen inactivity period. For example, a client who had an appointment 3 months ago will appear when filtering for 1, 2, or 3 months of inactivity—but not when filtering for 4 months.
  • This report will display information for new and existing clients


To access this report: 

  1. Navigate to Dashboard

  2. Select the Reports tab

  3. Under the Clients section, select the Lapsed Client report

When the report opens, you can filter by a specific location, staff, and date. You also can export to Excel, PDF, or print. Once you have selected your filters, click on the UPDATE button to generate the desired data. 



Report Filters


Filter Description
LocationThe location associated with the appointment
  • Accounts with One Location: No location filter is shown
  • Accounts with Multiple Locations: The location filter allows you to view data for a specific location or all locations within that account
StaffThe name of the staff member who performed the service.
Time Period

How long has it been since the client's last appointment? The options are 1 month, 2 months, 3 months, 4 months, 5 months, 6 months, and 12 months.


Report Columns


ColumnDescription
Family Member/Pet/VehicleThe name of the pet/vehicle/family member's name who has an appointment. Clicking this link will open the client's profile. This column is only shown for pet/family members/vehicle business. 
ClientThe name of the client who had an appointment. Clicking this link opens the client's profile. 
Client Type

Indicates whether the client is new or existing.

 

A client is considered existing if they have any appointment history before the selected date range. For example, if John had appointments in March and June, and you run the report in November filtering for clients inactive for 4 months, John will be listed as existing.

If John had no appointment in March (or any prior period), he would be categorized as new.

Last AppointmentThe date and time of the client's last appointment.
Days Since Last VisitThe number of days it has been since the client’s last appointment.
Total Number of Appointments

This column reflects the number of appointments booked for a specific person. For example, if a client booked:

  • 2 appointments for themselves (February and October), and 1 appointment for a family member (June),
  • and you filter for clients inactive for more than 5 months, only the family member will appear. Their Total Appointments count will show 1, since only the family member has been inactive for over 5 month
Phone NumberThe phone number of the client. 
EmailThe email address of the client.


Scenarios


ScenarioResult
Shana Wilson's last appointment was 12 months ago. 

Shana Wilson will appear on the report when you filter by 12, 6, 5, 4, 3, 2, 1 month since the last appointment.

 

Alicia Bell's last appointment was 1 month ago. Alicia Bell will appear on the report when you filter by 1 month since the last appointment. She will not appear when you filter by other periods.
Renee Lee's last appointment was 2 months ago.Renee Lee will appear on the report when you filter by 1 month and 2 months since the last appointment. She will not appear when you filter by other periods.
John Reid's last appointment was 2 months ago but he has an upcoming appointment this week. John Reid will not appear on the report at all.
