Custom Client Icons

MyTime allows businesses to create custom client icons, making it easy to identify important client attributes at a glance. These icons can be used to personalize client profiles and enhance visibility during appointment scheduling.


Things to Know:

  • The ability to manage and configure custom icons is governed by the "Manage Client Setup" access control setting.
  • Custom icons can be created at the global (parent) level or at the child (company) level.
  • Icons can be selected from predefined options provided by MyTime or uploaded using SVG (Scalable Vector Graphics) format for full customization.
  • Once created, custom icons will be available when editing client details but will not be automatically assigned—they must be manually selected per profile.
  • Multiple icons can be assigned to a single client profile, allowing for a rich representation of client characteristics.
  • After assignment, icons will be visible on both the appointment modal and appointment tooltip in the Scheduler.

Enabling The Custom Icon Setting 


To enable the ability to use custom client icons:


  1. Go to Location Setup > Setting
  2. Scroll to the 'Calendar' section
  3. Locate the 'Enable Icon Custom Field' setting
  4. Toggle the setting to 'Yes'                                            
  5. Save changes

This setting must be enabled before you can add or assign custom icons.


Add Custom Client Icons


To create and configure custom client icons:


  1. Navigate to the Clients tab
  2. Select Manage Clients
  3. Click Customize Client Fields
  4. Scroll to the 'Custom Client Fields' section  and select 'Add Field'  
  5. In the Field Type dropdown, choose Icons
  6. Enter a Field Name for your icon set
  7. Click the dropdown arrow to view predefined icons. To upload your own, select Add New Option
  8. If the 'Add New Option' is selected, you will be prompted to upload an SVG file from your device
  9. Add Tooltips to each icon to describe what the icon represents (required for clarity)
  10. Click Save                        


Add Icons on Client Profiles


To apply icons to a client's profile:


  1. Navigate to the Clients tab
  2. Filter by the location
  3. Search for and open the desired client profile  
  4. Click the edit icon in the 'Details' section 
  5. Scroll to the icon custom field and select one or more icons 
  6. Click Save at the bottom of the modal 
  7. Once saved, the selected icons will appear on the client’s profile. 


View Icons on Schedule


Once icons are added to a profile, they will be visible in the following areas of the Schedule: 


Appointment Modal – Icons appear in the modal when clicking on an appointment


Appointment Tooltip - Icons appear when hovering over an appointment


This allows staff to quickly identify specific client attributes without needing to open the full profile.
