Disable Online Booking for Classes

MyTime allows you to control how clients book classes by giving you the option to disable online booking for individual classes or all classes. This flexibility ensures that class scheduling aligns with your business operations whether you prefer clients to book in-store only or want to limit online access for specific sessions. This article explains how to manage these settings and disable online booking when needed.


Things to know:

  • The ability to create and schedule classes/events requires both the “Schedule Classes/Events” company setting and the “Schedule Classes/Events” access control permission.
  • Clients can only book classes online after the class session has been scheduled in-store.
  • When a class is scheduled, the "Allow Online Booking" toggle is automatically turned on, making the class visible and bookable online.
  • Turning off the "Allow Online Booking" toggle removes the class from online booking.
  • This prevents new online bookings.
  • Appointments already booked online will not be canceled or affected.
  • For franchise businesses, online booking for global classes can only be disabled at the child account level.

Disabling Online Booking for Classes


To disable online booking for a class:

  1. Navigate to the Schedule
  2. Filter by the desired location and date
  3. Click on the ‘Schedule Class/Event’ button below the calendar on the left-hand side of the Schedule or on a specific time slot directly in the schedule
  4. In the class modal, fill in the required details:
    • Store: The primary location hosting the class
    • Associated Locations: Additional linked locations
    • Event Name: Name of the class/event
    • Event Location: The exact place the class will occur (can differ from the main store, may be virtual)
    • Time: Start and end time
    • Instructor: Staff member(s) leading the class
    • Resource: Equipment, room, or tools required
    • Allow Online Booking: Toggle this off to disable online booking
    • Attendee Types: Pre-filled from the Classes tab
    • Limit: Max number of attendees (editable)
    • Price: Cost to attend (editable)
    • Description: Additional class information
    • What To Bring: Optional items for participants (not shown online but included in booking notifications)
    • Notes: Internal notes for staff
  5. Click Save



Scenarios


Scenario 1: "Allow Online Booking" Enabled


The class is visible and bookable online. Even when the class reaches full capacity, it will remain visible online. When clients attempt to book a full class, they will see a message indicating that the class is at capacity and cannot be booked.


Scenario 2: "Allow Online Booking" Disabled


The class will not appear online. Clients will not be able to view or book the session through the booking widget.
