Schedule Multi-Client Apppointment on Scheduler App

Multi-client services enable you to efficiently schedule and manage appointments involving multiple clients at the same time. This feature is perfect for services like couples massages or any activity where clients participate together. In this article, we will explain how this feature operates and provide a step-by-step guide on scheduling these appointments using the scheduler app.


Things to Know:

  • This feature is controlled by a hidden setting that only the MyTime team can enable. To enable the hidden setting, please contact our Support Team at support@mytime.com.
  •  The maximum number of clients that can be added to an appointment for a specific service is determined by the limit set in the service menu. Learn more here
  • Pet/family member accounts will have the option to book services for pets/family members and additional clients
  • Each client on the appointment will receive a booking notification once the "Send confirmation to additional client" checkbox is checked.
  • If the email address entered for the additional client(s) is not already registered in the MyTime database, a new client profile will be created. For existing clients, the system will locate the profile, and the appointment will be scheduled for the existing profile.
  • After scheduling a multi-client appointment, you can change the additional client through the appointment modal. Once this change is made, the appointment will appear on the newly added client's profile and will be removed from the originally selected client's profile.
  • Canceling the appointment cancels the appointment for both the primary client and the additional client(s).
  • Using the "Book Again" option on the booking widget's appointment confirmation page or the appointment modal in-store will not prefill the additional client details previously entered in the new appointment modal.
  • When a multi-client service is scheduled, the names of all clients will appear in the appointment notifications sent to staff members.


To schedule multi-client appointments on the scheduler app:


1. Log into the app: For instructions on logging in, learn more here
2. 
Once signed in, you will be directed to the schedule by default

3. Choose the time slot where you want to add the appointment or tap the "+" icon at the top right-hand corner of the screen to open the "Appointment" modal

4. In the "Client" field, add the main client for the appointment

5. Select the multi-client service from the "Services" list

6. Once the service is added, additional client fields will appear. You can search for an existing client or add a new one by clicking the "+" icon

7. The "Send confirmation to additional client" option will be selected by default

8. Once all clients are added and the service is selected, save your changes to confirm the multi-client appointment

9. The appointment will appear on the schedule displaying the main client's name along with "+1" to signify that it is a multi-client appointment
