Inventory Stock Alerts

This article will guide you through the steps on how to enable and disable stock alerts for inventory.


Things to know:

  • Notification Methods: Alerts appear in the Notification Center (the bell icon at the top of the page) and via email.
  • Email alerts are only sent to staff members who have opted to receive operations alerts.
  • Clicking an alert (in the bell icon or an email link) takes you directly to the specific SKU modal in your inventory so you can quickly add a shipment
  • Alert notifications are triggered automatically based on the following specific conditions:
    • Low Stock: Triggered when a retail item’s quantity reaches your predefined minimum (MIN) threshold.
    • Out of Stock: Triggered immediately when the retail quantity hits zero.
    • Expired Stock: Triggered as soon as a product reaches its recorded expiration date.
    • Note: These alerts apply exclusively to retail quantities. Alerts are not triggered for items categorized as back bar quantities
  • In POS, when the retail quantity is running low, it will be highlighted in yellow. Once the item is out of stock, the quantity will be displayed in red.
  • The system checks for expirations every hour for items that expired within the last 96 hours.
  • Expired items are consolidated into a single email to prevent inbox clutter.

Enabling or Disabling Stock Alerts

  1. Navigate to POS > Inventory
  2. Click the Settings (gear) icon in the upper right-hand corner
  3. You will be directed to the Alerts page. Here, you can toggle preferences for Low Stock, Out of Stock, and Expired Stock:
    • To enable dashboard alerts: Check the MyTime Dashboard boxes.
    • To enable email alerts: Check the email boxes.
    • To disable alerts: Uncheck both the Dashboard and email boxes for that category.
  4. Save your preferences at the bottom of the page.



How Alerts Appear


Notification Center - When you click a stock alert in your notification bell, the system opens the inventory page with the relevant SKU modal already expanded.



Email - Emails are sent to all authorized staff. Each email contains a SKU Name hyperlink; clicking this redirects you to your MyTime account and opens the inventory record for that specific item.


Example Alerts:


Low Stock: "Item [Name] has reached its minimum threshold."

Out of Stock: "Item [Name] is currently unavailable."

Expired Stock: "The following items have expired: [List of SKUs]."
