Multi-Staff Services

Multi-staff services are those that require the involvement of multiple staff members for a single service, such as a full grooming session that requires a bather and a groomer, a couples massage with two massage therapists, or a mani-pedi that requires a manicurist and a pedicurist who work simultaneously. In this article, we'll guide you through the process of configuring multi-staff services and explain how to add these to appointments.


Things to know:

  • This is controlled by a hidden setting that only the MyTime team can enable. To enable the hidden setting, please contact your account manager or our support team at support@mytime.com
  • The ability to create multi-staff services is controlled by the "Accessing Services Menu" access control setting.
  • For franchise businesses using global services, this feature is managed at the parent account level.The "Multi-Staff Appointments" setting must be enabled to use this feature 
  • Enabling the "Multi-Staff Appointments" setting will automatically disable the "Allow Customizing Online Booking Interval Per Staff Member" setting. If different intervals were previously set per staff member, this feature will no longer function.
  • To allow clients to select specific staff members for their service online, the "Can Customers Book a Specific Staff Member?" setting must be enabled
  • Staff members eligible for a service can be designated in the Service Menu. From the appointment modal, staff can be assigned to the appointment, or clients can choose their preferred staff when booking online.
  • Appointment confirmation notifications for multi-staff services will list all assigned staff members.
  • When checking out multi-staff services, all assigned staff members will be visible on the ticket.
  • If the "Do prices vary by staff member?" or "Do service durations vary by staff member?" settings are set to "Prices/Duration are set by location or staff member" or "Prices are set by title per location or location group," the system will select the highest price and longest duration for services with multiple staff members.  Example: If Staff A charges $100 for a 1-hour service and Staff B charges $120 for 1 hour and 20 minutes, the final price and duration for the service will be $120 with 1 hour and 20 minutes
  • For multi-staff services, the "Eligible Resources and Staff" section in the service setup modal is renamed to "Eligible Resources." This functionality is controlled by the "Automatically mark a qualified staff member as eligible staff" hidden setting,, which is enabled by default. If you wish to disable this setting, please contact your account manager or email our support team at support@mytime.com
  • Any staff member listed under Qualified Staff will automatically be marked as eligible in the 'Advance' section of the duration modal.
  • If a staff member is assigned a service from their profile, they will be marked as both qualified and eligible to perform that service. However, if certain staff members should not be eligible, you can manually adjust their eligibility in the Duration modal.
  • Qualified Staff: Staff members who are allowed to perform the service based on pricing. If a staff member has a defined price for a service at a given location, they are considered qualified at that location.
  • Eligible Staff: Staff members who are required to perform the service. The "Eligible Staff" section supports Multi-Staff Services by letting businesses assign staff to each service. For example, in a couples massage that requires two staff members at the same time, you can assign eligible staff for the service. 
  • Staff members will be automatically marked as eligible no matter the pricing or duration ("Do prices vary by staff member?" or "Do service durations vary by staff member?") setting you have configured.

Configuring Multi-Staff Services 


Once the settings are configured:

  1. Navigate to Business Setup > Services
  2. Click "Edit" next to the service to which you want to add multiple staff members.⁣
  3. On the service modal, click "Advanced' below the duration
  4. The split-time modal will appear. On the modal, an 'Add Staff' hyperlink will be displayed. Click the 'Add Staff' hyperlink to add multiple staff members to the service (according to the number of staff members that can perform this service)                          
    • If two staff members are needed to perform the service, you can click the 'Add Staff' hyperlink twice for the staff member field to be added twice. You can then select 1 staff member from each dropdown or choose "Select All" to add all the qualifying staff members to each dropdown
    • If 3 or more staff members are needed to perform the service, you can click the 'Add Staff' hyperlink three or more times for the staff member field to be added the desired amount of times. You can then select 1 staff member from each dropdown or choose "Select All" to add all the qualifying staff members to each dropdown
  5. Save the duration modal and then the service modal 


Scheduling Multi-Staff Services In-Store


You can schedule appointments with multi-staff services by:

  1. Navigating to the Schedule 
  2. Filter by location
  3. Click on the ‘New Appointment’ button below the calendar on the left-hand side of the Schedule or on a specific time slot directly in the schedule  
  4. When the appointment modal opens: 
    • You can search for an existing client or add a new one
    • Select the duration
    • Select the service to expose the additional staff member fields
    • Select your staff members                                                                                                                                                
  5. Save 
  6. The appointment will be visible in both staff members's section on the schedule                                                                                                  


Checking Out Multi-Staff Services


From the schedule:

  1. Open a booked appointment
  2. Click the "Create Ticket" button                                                                                                                                                      
  3. You will be directed to POS to complete the checkout > Click the "Take Payment" button
  4. Take payment for the ticket > Close the ticket
