Legal Name vs Display Name

MyTime offers the flexibility to display either the legal names or preferred nicknames of your staff members. Many businesses choose to use nicknames to make it easier for clients to remember staff, especially for repeat bookings. In this article, we’ll explain the difference between these two name types and how they appear within the system.


Things to know:

  • The ability to add legal and display names for staff members is governed by the "Accessing Staff & Availability" access control setting.
  • Each staff profile in MyTime includes two separate name fields—Legal Name (the staff member’s official name on record) and Display Name (the shortened name or nickname shown to clients).
    • The Display Name appears on the booking widget, Scheduler, POS, and throughout the software, while the Legal Name appears in reports and on the dashboard.
    • If only one name field is populated, MyTime will use that name everywhere.
  • Updating a staff member’s legal name does not change historical data—only future appointments reflect the updated name.
  • On the Staff & Availability page, when filtered to "All Locations," you can search for staff members by legal name, display name, or employee ID.

To add a legal or display name to a staff profile:

  1. Navigate to Business Setup > Staff and Availability 
  2. Filter by the desired location
  3. Select the "+Add New Staff Member" option    
  4. Fill in the display name (nickname) and legal name fields as shown belownames.png
