Global Custom Fields

Global custom fields are designed to collect information about clients, pets, family members, and appointment details. Once created, these custom fields can be included in intake forms. This article explains how to customize global custom fields.


Things to know:


  • The global client database must be enabled on both parent and child accounts. This is controlled by a hidden setting that only the MyTime team can enable. Please contact support at support@mytime.com to request this.
  • The ability to customize custom fields is controlled by the "Manage Client Setup" access control setting.
  • For franchise businesses, global custom fields can be created only at the parent (franchisor) level.
  • Custom fields can be marked as required, meaning clients, staff, or others must fill them out before proceeding. This ensures essential data is always captured.
  • Custom fields added to intake forms will appear online in the booking widget.
  • Each time a custom field value is edited by a client or staff member, the new information replaces the previous value, keeping records up to date.
  • Global custom fields appear under the Intake Form section at the child account level


Creating Global Client Custom Fields


From the parent level:

  1. Navigate to the Clients tab
  2. Select Manage Clients
  3. Select Customize Client Fields 
  4. The following screen will appear, showing default fields and custom fields. Default fields typically include basic contact information, such as the client's name and contact details, which are essential for booking appointments. Other default fields might include additional information like date of birth and gender, which can be added to the intake form if desired. If the default fields already include all the necessary information you need from clients, you can proceed to set up your intake form without adding additional custom fieldsIntake-Forms-MyTime (1).png
  5. At the bottom of the page, you will see your Custom Fields. Custom Client Fields and Custom Appointment Fields are visible by default on all accounts. However, depending on your business type, you will have more than two Custom Fields sections.   
  6. Click Add Field in the client, pet, family member, or appointment section.
  7. Click the dropdown in the 'Field Type' section to select what type of field you'd like to create (checkbox, dropdown, short answer, waiver, etc.).
  8. Next, complete the field options, then Save  

Custom Field Attributes


FieldsDescription
Field NameEnter the name of the custom field.
Field TooltipAdd a tooltip message that appears to clients when editing the field.
Field Regex & Error MessageAdd custom validation (e.g., max 9 digits). Applies only to short-answer fields.
DependenciesFor Checkbox and Short Answer fields, you can hide or disable a field based on the value or state of another field.

Custom Field Input Types


Field TypeDescription
CheckboxProvide a question with checkbox options clients can select.
Date FieldAllow clients to pick a date from a calendar.
Dropdown FieldOffer multiple options clients can select from a dropdown menu.
Email FieldClients can enter an additional email address.
Expiration ReminderDisplay reminder badges on client profiles and appointments for overdue tasks (e.g., evaluations). Automated emails can also be sent on expiry dates. Learn more here.
ListProvide a list of options clients can choose from.
Multiple SelectionAllow clients to select multiple options.
ParagraphAllow clients to enter a long-form answer.
PhoneClients can enter an additional phone number.
Short AnswerProvide a short answer field that can be marked required.
WaiverAllows clients to complete and sign a waiver. Learn more here.
