Referral Program Configuration

MyTime’s Client Referral Program makes it easy to track referrals and reward both the referrer (the client who makes the referral) and the referee (the new client being referred). It’s a great way to grow your business by encouraging loyal clients to spread the word. You can customize the credit amount awarded to the referrer and referee and the minimum spend requirement the referee must meet to trigger the reward

Example: Give new clients a $200 credit to use on any item, and reward the referring client with a $50 credit once the new client meets the spend requirement.


Things to know:

  • A Referral Program subscription is required. Ro enable it, please contact our support team at support@mytime.com. 
  • For franchise businesses, the referral program is configured at the parent level. Child (franchise) locations may opt in or out. 
  • If a franchise location has opted out of the referral program:

    • The referral program will not be visible to staff at that location

    • Referrers

    • Referrers and referees will not be able to use referral credits at that location. 

  • Referrer credit will not activate if the referee visits only that opt-out location. However, the credit can still activate if the referee later visits a location that has opted in.

  • Only one referral program can be active per account.

  • Clients can redeem referral credits either when booking online, or during checkout in POS

  • Referrals apply only to new clients. Adding family members, or pets under an existing client profile does not count as a referral.

Configure Referral Program

 

Once you’ve added a Client Referral Program subscription, you can configure your referral settings. To get started, log into your MyTime account and follow these steps:
 

  1. Go to the Marketing tab > Referral Program
  2. Enter values for the following fields:
    • Referee Credit - The amount a referee (new client) receives as credit, redeemable during their visit once the minimum spend is met.
    • Referrer Credit - The amount awarded to the referrer (existing client) once their referral has completed a qualifying visit that meets the minimum spend requirement. 
    • Minimum Spend - The minimum amount the referee must spend in a single visit (excluding tax and tip) to redeem their credit and trigger the referrer's credit activation 
    • Redeems For - Choose the item types to which referral credits can be applied. Options include: services, products, gift cards, packages, memberships, classes 
    • Terms & Conditions - Add any conditions or disclaimers here. If filled in, this text will display on the referral section of your online booking widget. 
  3. Once you are finished, click Save at the bottom right


When finished, click Save at the bottom right of the screen.


Automated Referral Notifications 

 

Once your referral program is set up, you can enable automated emails to thank clients for participating in the program. These notifications are sent to:


  • Referrers when a referral is made or their credit is activated.
  • Referees when they receive an invitation via the booking widget.


To configure referral notifications:

  1. Navigate to Marketing > Automated Messages 9575498-f3aa80ea0c64e3ae6bed3e5c72484ca7.png
  2. Scroll to the Referral Program section. You will find three templates:
    • Referrer Credit Activated - Sent to the referrer after the referee completes their first qualifying visit and the referrer's credit is activated.
    • Thank You To Referee - Sent to the referee when a referral is made, informing them of the qualification criteria and encouraging them to take action. 
    • Thank You To Referrer - Sent to the referrer when they submit a referral, to confirm the referral was received and explain the qualification process. 
  3. To edit a template, click the Edit link  
  4. The template editor will open, allowing you to customize the content as needed. A default message will be added to the end of each template to inform referrers and referees about what the referral credits can be applied toward. 
  5. Save
