Sync Outlook Calendar with MyTime

With MyTime, you can sync your Outlook calendar to your Scheduler. This works similarly to the Google calendar sync integration. The sync happens whenever there's an update on either side. So if an event is added to the Outlook calendar, then sync happens with MyTime. Similarly, if an appointment/event is added to MyTme, then sync with Outlook is triggered. 


Things to Know:

  • Once the sync is complete, events from your Outlook calendar will appear in your MyTime schedule, and future appointments and blockages from MyTime will sync to Outlook.
  • Each staff member can sync with one external calendar.
  • Canceling an appointment in MyTime will automatically remove it from the Outlook calendar.
  • If the Outlook calendar is disconnected and later reconnected for the same staff member and calendar, any appointments created during the disconnect period will be synced to Outlook.
  • After disconnecting the sync, future changes in MyTime will not update in Outlook. However, previously synced events will remain in Outlook and must be manually deleted if needed.
  • The same calendar can be synced to multiple staff profiles


To easily sync your Outlook calendar with MyTime:

1. Log in to your MyTime account.

2. Navigate to Business Setup > Staff.

3. Select the staff member whose schedule you want to connect to Outlook

4. In the staff profile, click Sync External Calendar, then choose Microsoft Outlook 365.

5. Select Microsoft Outlook 365 calendar. calendar.png 

6. If you're not already signed in to Outlook, you'll be prompted to do so.

7. Grant MyTime access to your Outlook calendar.

8. Confirm which calendar you want MyTime appointments to appear on.



After successfully connecting your calendar, the staff member's profile will display "Microsoft Outlook 365 Synced." You'll also see the date and time of the most recent sync (as shown below


To view external calendar events in your schedule, ensure that "Display external calendar events on Schedule" is set to YES (as shown below).
