Booking Group Appointments In-store

Group appointments can be scheduled in-store by entering the appropriate number of participants or resources. This helps streamline booking management while ensuring accurate capacity control. This article provides guidance on how to book group appointments in-store.


Things to know:

  • The ability to schedule group appointments is managed through the “Accessing Appointments” access control setting.
  • To schedule group appointments (in-store and online), create a resource with the “booking per time slot” set to the maximum number of clients it can accommodate. Learn more here.
  • For group appointments booked in-store, the service must have a resource assigned. Learn more here.
  • Group appointments require a quantity custom field to define the maximum number of clients allowed per appointment. Please contact MyTime Support for assistance with creating this field.
  • Fot franchise businesses, custom fields created at the parent account level are visible across all child accounts. Custom fields created at the child account level are visible only within that child account.
  • The value entered in the quantity custom field overrides the resource capacity set in the Staff and Availability tab, ensuring consistency across settings.
  • Staff can enter a value in the Qty field on the appointment modal to specify how many clients are included in the appointment. If the entered quantity exceeds the maximum defined in the custom field, an error message will appear: “Quantity exceeds max limit: X amount." However, the appointment can still be booked with the higher quantity.
  • Optional Hidden Settings (Available Upon Request):
  • MyTime Support can enable additional hidden settings to customize your group booking workflow, including:
  • Allowing bookings without requiring additional clients’ phone numbers or emails during checkout.
  • Permitting partial entry of additional clients’ details at booking time, with the option to add the remaining information later.
  • Configuring your account so that notifications are not sent to additional clients by default



To schedule a group appointment in-store, follow these steps:


  1. Navigate to the Schedule
  2. Use the filters to select the appropriate location
  3. Click the New Appointment button (located below the calendar on the left) or click directly on a specific time slot within the schedule
  4. Add a client
  5. Select the date, time, staff, and service
  6. After selecting a service, the resource field will appear automatically, displaying the resource name and quantity.
  7. Enter the desired number of clients in the QTY field. This will automatically generate additional client fields.
  8. Fill in the required details for the additional clients
  9. Click Save at the bottom of the modal
