Client's Membership Audit Trail

The Membership Audit Trail on the client profile provides a detailed log of every action taken on a client's membership. This article explains how to access the audit trail and the types of data it displays.


Things to know:

  • Access to the "Audit Trail" link is controlled by the "Enable client membership changes audit trail" hidden setting. To request activation of this feature, please contact our support team at support@mytime.com 
  • Once enabled, the audit trail will display a complete history of all changes made to the membership, including those made prior to enabling the setting.


To access the membership credits audit trail:


  1. Navigate to the Clients tab
  2. Search for the desired client
  3. Open the client's profile
  4. Scroll down to the Memberships section 
  5. Expand the membership 
  6. Select the Audit Trail link below the membership status 
  7. The membership audit trail will be displayed 


The membership audit trail includes several columns, each capturing specific information about changes made to a membership. The table below explains the data shown in each column:


ColumnDescription
DateThe date the action was taken. This includes when the membership was created, started, or edited using the 'Edit Membership' modal.
ActivityThe specific action taken on the membership. Possible values include:

Membership Created - Indicates when the membership was initially created.

Membership Started - Displays the start date of the membership, which may differ from the creation date if it was scheduled to begin later.

Membership Charged - Indicates when a charge was applied to the membership.

Status - Appears when:

  • A cancellation is scheduled or when a scheduled cancellation is removed
  • When a suspended membership becomes active again.

Membership Cancelled - Indicates when the membership was officially cancelled.

Membership Suspended - Displayed when a membership is suspended.

Membership Expired - Displayed when a membership has reached its end date.

Membership Frozen - Displays 'Freeze Period Start Date' and 'End Date' when a freeze is applied or cancelled.

Membership Renewed - Indicates the membership was renewed.

Registration Fee - Shown when a registration fee is added.

Freeze Fee - Displayed when a fee is charged for freezing a membership.

Cancellation Fee - Displayed when a cancellation fee is applied.

Membership Owner - Indicates when a membership is assigned to a specific family member or pet

Billing Day - Displayed when the billing date is updated

Custom Charge Date Shown when a custom charge date is set

Purchase Location - Displayed when the location where the membership was purchased is changed.

Guard Price Setting - Appears when the 'Price Protection on Scheduled Update' setting is changed.

Rollover Unused Benefits Setting - Displayed when the 'Rollover Unused Benefits' setting is modified.

Scheduled Upgrade/Downgrade - 'Scheduled Upgrade/Downgrade'  is displayed when a membership change is scheduled. Once applied, 'Membership Upgraded/Downgraded' will be displayed.

Modified ByThe name of the staff member who completed the activity.
Old Value

The current value or setting before the change

New Value

The new value or setting after the change
