MyTime allows you to set a custom charge date for a client’s membership, providing flexibility when adjustments to billing timing are needed.
Things to know:
- The ability to configure a membership custom charge date is governed by the 'Accessing Memberships" access control setting.
- Setting a custom charge date updates the next charge date only. After that charge is processed, the membership will resume its regular billing cycle.
- Example: If the regular billing date is the 25th of each month and you set a custom charge date for March 20th:
- The client will be charged on March 20th, the next charge will occur on the regular date—April 25th.
- Example: If the regular billing date is the 25th of each month and you set a custom charge date for March 20th:
- If the membership is in the automatic retry process for failed payments when a custom charge date is set, the custom date becomes the new next charge date, and the retry process stops
- If a membership with a custom charge date is canceled, the next charge date is removed.
- If a membership is pending cancellation with a future end date, and a custom charge date is set after that cancellation date, the next charge date will be removed once the membership is canceled.
To set a custom membership charge date:
1. Go to the Clients tab
2. Search and select the desired client's profile
3. From the client profile, navigate to the "Memberships" section
4. Expand the arrow on the right next to the membership status
5. Select the Edit Membership button
6. From the "Edit Membership" modal, select the Set Custom Charge Date hyperlink
7. Add the desired date
8. Select the "Save" option at the bottom of the screen
Once saved, the "Next Charge" field will display the custom date that was selected.
