This article will guide you through how membership credit expiration works, including default settings and customization options.
Things to Know:
- By default, membership credits expire one year after they are issued.
- For indefinite memberships, a custom expiration period can be set in the membership template or on the client profile
- For franchise businesses, credit expiration for global memberships can be configured only at the parent level.
- Although custom credit expirations are visible on global membership templates at the child account level, they cannot be edited there. However, expiration settings can still be updated directly from the client’s profile if needed.
If credits are set to roll over, the option to add an expiration for membership credits will be disabled on the membership credits tab and client profile.
- Credit Expiration Behavior When Rollover Is Disabled: For memberships where the “Rollover Unused Credits” option is set to “No,” you will not be able to configure credits to roll over. As a result:
- The rollover option will not appear in the client’s membership profile
- Membership credits will not expire at the time of each recurring charge. Instead, credits will follow a custom expiration duration (e.g., 90 days), as defined in the membership template or client profile.
With each successful recurring charge, a new batch of credits will be issued using the configured expiration duration.
- Impact of Changing Membership Credit Expiration Duration: If you update the expiration duration in the membership template or from the client profile (e.g., changing from 90 to 120 days):
- The most recent batch of credits will retain the original expiration period (90 days)
- The next batch of credits, created after the next successful charge, will use the updated expiration (120 days)
- The rollover option remains hidden, and the expiration dates for individual credit batches will still be editable from the client’s profile
- For memberships with expired value credits, the "Value Credit" section in the membership details on the client's profile will show a remaining balance of $0.

Configuring Membership Credit Expiration On Membership Template
To set up membership credit expiration on the membership template:
1. Go to Location Setup > Membership
2. You can either add a new membership or click the edit icon to modify an existing indefinite membership
3. From the 'Membership Credits' tab, click the 'Set for how long credits will be valid' hyperlink to specify the credit expiration period
4. From here, you can customize the credit's validity by selecting whether the credits should expire after a specific number of days, months, or years using the dropdown menu
5. Once updated, click the "Publish Membership" button at the bottom of the screen to save the changes
Editing Membership Credit Expiration on Client Profiles
The expiration dates defined in the membership template are reflected in the client's profile under the Membership section. These dates can be modified directly from the client profile if adjustments are needed.
- Navigate to the Clients tab
- Search for and select the client whose membership you want to update.
- Scroll to the membership section on their profile
- Click "View Details" beneath either the Value Credit or Item Credit Section.
Editing Value Credits
The Value Credit section displays:
- Credit bucket number
- Credit type
- Date the credit was added
- Expiration date
- Amount
To make changes:
Click the expiration date to open a calendar and select a new date.
Click the amount to edit the credit value.
Editing Item Credits
The Item Credit section displays:
- Credit bucket number
- Credit number
- Item group
- Date the credit was added
- Expiration date
- Quantity
To make changes:
Click the expiration date to open a calendar and select a new date
Click the quantity to edit the amount of credits using the arrows
Once you are done with your changes, click 'Save'
