Family member notes serve as a means for staff members to communicate among themselves, enhancing the provision of exceptional and personalized service to individuals. These notes offer insights into the preferences of family members.
Things to know:
- The family member notes section comprises a single note field, editable as needed, accessible from either their profile or an appointment modal. With each modification, the system automatically logs the timestamp of the last change and identifies the staff member who made the adjustments.
- Family member notes will be showcased as pinned notes on the appointment modal, positioned below the family member's name within the appointment details section, and also featured on the notes page.
- For clients with multiple family members, each note will be shown under the corresponding profile.

Adding Family Member Notes
To add family member notes:
1. Navigate to the Clients tab
2. Locate the client then click on their name to open profile
3. Locate the family member's name, then click the edit icon to open profile
4. On the family member profile, locate the notes section at the bottom of the page
5. Add notes then save
6. After saving, the family member notes will appear on the respective profile and in any scheduled appointments. Within appointments, the note will be found in the family member notes section under the Notes tab.
Attaching Files to Family Member Notes
To add attachments, such as images or documents, to family member notes:
1. Navigate to Clients
2. Open the client profile by clicking on their name
3. Select the family member by clicking the edit icon to open their profile
4. On the family member profile, click the paperclip icon next to Attach File
5. Upload a file
6. Save
Edit/Delete Family Member Notes
To edit or delete family member notes:
1. Navigate to Clients
2. Open the client profile by clicking on their name
3. Select the family member by clicking the edit icon next to open their profile
4. Locate the notes and proceed to either remove or edit them within the designated field
5. To delete attachments, click the red x next to the attachment
6. Save
View/Edit Family Member Notes on Appointment Modal
Family member notes are pinned beneath the respective name in the appointment modal. Within the Notes tab, these notes are initially in a read-only format. However, when hovered over, they turn blue, revealing a pencil icon that allows you to click and make edits.
