Walk-in Waitlist via Kiosk

Clients can use the kiosk to add themselves to the waitlist, schedule an appointment, and view estimated wait times for services. This article provides a step-by-step guide on using the Walk-in Waitlist via the kiosk.


Things to know:

  • By default, when clients select the "Walk-In" option on the kiosk, they are added to the waitlist. However, if the "Real Appointments on Kiosk (Skip Waitlist)" hidden setting is enabled, selecting "Walk-In" will create an actual appointment instead of adding them to the waitlist.
  • The estimated wait time is based on the selected employee's availability (working hours and appointments) and resource availability. It is calculated by the next available appointment start time minus the current time. So if the next available appointment slot is at 9:00 am and it is now 8:45 am, the estimated wait time that will be shown to clients will be 15 minutes.
  • The ‘Next Available’ staff algorithm for the waitlist is calculated like this:
    • Which employees can perform the appointment sooner?
    • Which is the least busy employee now?  If employee A already has an appointment, but he can perform 2 appointments at the same time, but B and C have no appointments now, then the system will choose between B and C.
    • Which had an appointment auto-assigned recently? If we auto-assigned an appointment to B a few minutes ago and to A 1 hour ago, then A will be preferred by the system.


When clients arrive at your store, they can use the kiosk to add themselves to the waitlist. Before joining, they will see the estimated wait time and the number of people currently in line. To add themselves to the waitlist, clients should:

  1. Select the "Walk-In" option on the kiosk screen                                                                                             
  2. Enter their phone number or email address                                                                                                                        
  3. Click on the "Go" button
  4. Choose who they are checking in for: themselves, a family member, or both
  5. If they are a new client, they will need to enter their name and other required details
  6. If they are an existing client, their information will be auto-filled                                                  
  7. Select the "Continue" button
  8. Select the desired service category, then select the desired service.
  9. Click the "Continue" button
  10. Complete the intake form (if applicable) and click "Continue"
  11. Choose the desired service provider (if preferred) or select the "Next Available" option, then click the "Continue" button.

Once checked in, clients will be added to the waitlist and can wait for their turn.
