Marketing Campaign Filters

MyTime’s marketing campaign filters allow you to precisely define your target audience for each campaign. This article provides a detailed explanation of each filter option, helping you tailor your messages to the right clients.


Things to know:

  • The ability to utilize marketing campaign filters is governed by the "Accessing Email Campaigns" access control setting.
  • Email Campaigns: By default, the recipient list will automatically display clients:
    • Who are associated with a location

    • Have an email address on file and have opted in to receive email marketing campaigns

    • If a client is not associated with a location, has not opted in to receive email marketing campaigns, or does not have an email address on file, they will not be included in the recipient list. 

  • SMS Campaigns:
    • By default, the recipient list will automatically display clients:
      • Who are associated with a location

      • Have a mobile phone number on file and have double-opted in to receive SMS marketing campaigns

    • If a client is not associated with a location, has not opted in to receive SMS marketing campaigns, or does not have a mobile phone number on file, they will not be included in the recipient list. 

  • When sending targeted campaigns, you have the option to filter clients based on a specific date range instead of using predefined intervals such as days, weeks, months, or years. This functionality is controlled by the "Enable Date Range Filter for Manual Campaigns" hidden setting, which can only be activated by the MyTime team. To enable this setting, please contact support@mytime.com. Once enabled, the "Within the past" and "But not within the past" filters will be replaced by the "Within the date range" filter, allowing for more precise targeting.
  • By default, the client list is automatically updated based on the filters selected; however, you have the option to manually refresh the client list using the 'Refresh Clients' hyperlink. This is controlled by the "Turn Off Auto Recipient Count in Manual Campaigns" hidden setting that can only be enabled by the MyTime team. To enable this setting, please contact support@mytime.com 
  • When filtering by a specific date range and membership (or group of memberships), the client list will only display clients who have or had an active membership within the selected date range. For example, if the membership filter is set to “Have” and the date range is October 12–15, the filtered list will include only clients whose memberships:
    • Start on or before the end of the selected date range, and
    • End on or after the start of the selected date range.
  • When filtered by a specific date range and package (or group of packages), the client list will only display clients who held a valid package at any point within the selected date range. For example, if the package filter is set to “Have” and the date range is October 12–15, the filtered list will include only clients who had an active package at any time during that period.

When a location is selected, the recipient list will be filtered to include only clients associated with that location. 

Who


Services: 


When the “Enable Date Range Filter for Manual Campaigns” hidden setting is disabled

The following filters are available:

  • Have received
  • Have not received

You can select one or more services. Clients will be included based on whether they have received (or not received) all selected services or a specific services.


If a client is associated with multiple locations, selecting a specific location and using the Have Received filter will return:

  • Clients associated with the selected location
  • Clients who received the selected service(s) at any other location within the business during the selected time frame.

Services: 


When the “Enable Date Range Filter for Manual Campaigns” hidden setting is enabled

The following filters are available:

  • Have received or Will receive
  • Have not received


These filters allow you to target both past and upcoming appointments participation within the selected date range.

Classes:


When the “Enable Date Range Filter for Manual Campaigns” hidden setting is disabled

The following filters are available:

  • Have attended
  • Have not attended

You can select one or more classes. Clients will be included based on whether they have attended (or not attended) all selected classes or a specific class.


If a client is associated with multiple locations, selecting a specific location and using the Have attended filter will return:

  • Clients associated with the selected location
  • Clients who attended the selected class at any other location within the business during the selected time frame.

Classes:


When the “Enable Date Range Filter for Manual Campaigns” hidden setting is enabled

The following filters are available:

  • Have attended or Will attend 
  • Have not attended


These filters allow you to target both past and upcoming class participation within the selected date range.

Products:


Whether or not the “Enable Date Range Filter for Manual Campaigns” hidden setting is enabled, the following filters are always available:

  • Have purchased
  • Have not purchased

You can select one or more products. Clients will be included based on whether they have purchased (or not purchased) all selected products or a specific product.


If a client is associated with multiple locations, selecting a specific location and using the Have Purchased filter will return:

  • Clients associated with the selected location
  • Clients who purchased the selected product(s) at any other location within the business during the selected time frame.

Packages:


Whether or not the “Enable Date Range Filter for Manual Campaigns” hidden setting is enabled, the following filters are always available: 

  • Have
  • Have no
You can select one or more packages. Clients will be included based on whether they have (or don't have) all selected packages or a specific package. 
  • Filter by the interval when the package was active: The client with the package is displayed.
  • Filter by the interval when the package is no longer active: The client with the package is not displayed.
  • Filter by the interval when the package was active for part of the period but not the entire time: The client with the package is displayed.
  • Filter by the interval when the package was active for only a few days after it was added: The client with the package is displayed.


If a client is associated with multiple locations, selecting a specific location and using the Have filter will return:

  • Clients associated with the selected location
  • Clients who have the selected package(s) at any other location within the business during the selected time frame.

Memberships:


Whether or not the “Enable Date Range Filter for Manual Campaigns” hidden setting is enabled, the following filters are always available: 

  • Have
  • Have no

You can select one or more membership. Clients will be included based on whether they have (or don't have) all selected memberships or a specific membership. 

  • Filter by the interval when membership was active - client with membership is displayed
  • Filter by the interval when membership is no longer active - a client with a membership that is not active is not displayed
  • Filter by the interval when membership was active for some time but not the whole period - client with membership is displayed
  • Filter by the interval when membership is active just a few days since it was added - client with membership


If a client is associated with multiple locations, selecting a specific location and using the Have filter will return:

  • Clients associated with the selected location
  • Clients who have the selected membership(s) at any other location within the business during the selected time frame.
Within the past

(This option is displayed if the "Enable Date Range Filter for Manual Campaigns" hidden setting is disabled.)


Number of days, weeks, months, or years
Services/classes booked or items purchased within the specified number of days, weeks, months, or years.
But not within the past

(This option is displayed if the "Enable Date Range Filter for Manual Campaigns" hidden setting is disabled.)


Number of days, weeks, months, or years
Services/classes booked or items not purchased within the specified number of days, weeks, months, or years.
Within the date range

(This option is displayed if the "Enable Date Range Filter for Manual Campaigns" hidden setting is enabled.)

List the names of all the service providers
This filter only works when at least one option from the Who section is selected:
  • All staff members selected: The client list will include all eligible clients.
  • One or more staff members selected: The client list will include only clients who have been serviced by the selected staff member(s).
  • No staff selected in the Who section: The client list will remain unfiltered by staff.

When combined with filters for services, products, classes, gift cards, packages, or memberships (set to have or have not received), the eligible client list will be refined to match those selections.

Labeled


List of labels created on the Clients tab 
Once a label is selected, only clients with that label applied to their profile will be selected in the recipient list.
When To Send


Now/Later
You can choose to send the campaign now or later. If you choose later, you can schedule a date and time for the campaign to be sent.
Client ListRefresh Clients

'Turn Off Auto Recipient Count in Manual Campaigns' Hidden Setting Disabled (OFF): 

- The Refresh Clients hyperlink will not appear. The client list will update automatically without any action required.


'Turn Off Auto Recipient Count in Manual Campaigns' Hidden Setting Enabled (ON):

- The Refresh Clients hyperlink will be visible. The client list will not update automatically. To see the latest updates, apply the desired filters and then click Refresh Clients to refresh the list.


Scenarios


You can target clients based on whether they have or have not received specific services, classes, products, memberships, or packages. Below are examples of how each configuration works:


Scenario 1: Clients who have received a specific service (e.g., Haircut)


Setup:

Select Have Received

Check only the Haircut service


Result:

The client list will include all clients who have received at least one haircut, regardless of whether they have also received other services.


Scenario 2: Clients who have not received a specific service (e.g., Massage)


Setup:

Select Have Not Received

Check the Massage service


Result:

The client list will include all clients who have never received a massage, even if they have received other services.


Scenario 3: Clients who have received only one specific service (e.g., IV)


Setup:

Select Have Not Received

Check all services except IV


Result:

The client list will include only clients who have received IV services and no other services.


Scenario 4: Targeting clients who received Men's Haircut with Mark


Setup: 

Select Have Received Men's Haircut

Select Mark from the 'Were serviced by:' section


Results:

The client list will include only clients who received Men's haircut from Mark.
