By Resources Report

This report displays appointment revenue based on the resources utilized and can help track your resource capacity. With MyTime's resource booking feature, you can monitor your resources to ensure that essential items like rooms are always available to support specific services.


Things to Know:

  • Resources need to be configured on the account. Learn more here
  • You can assign resources to either all services or to specific services. Learn more  here
  • Once an appointment is scheduled with services that utilize resources, the "By Resources" report will update accordingly.
  • Services utilizing multiple resources will be reflected multiple times in the report. However, the calculation for the service revenue and appointment count will remain unique.
  • The ticket number will only be displayed if the appointment is part of a closed ticket
  • Data in the "Prepaids" column exposed for "Revenue At Time of Purchase" is only available as of January 1, 2022.
  • For multi-day appointments, you can configure your account to display revenue earned on the final date of the appointment instead of the first. For example, if an appointment runs from September 6, 2024, to September 20, 2024, the revenue will be recorded on September 20, 2024. This feature is managed through a hidden setting that only the MyTime team can enable. To activate this setting, please reach out to our Support Team at support@mytime.com. Note that once enabled, this change is irreversible and will only apply to appointments and tickets created after activation.

  • Historical data for deleted resources will remain accessible in this report


To access this report:


  1. Navigate to your Dashboard

  2. Select the Reports tab

  3. Under the Bookings section, select the "By Resources" report

When the report opens, you can filter by a specific location, staff, service category, service, date, and revenue at the time of use or purchase. Below the filters, to the right, you have the option to download the report as a CSV, PDF, or print version.


Once you have selected your filters, click on the UPDATE button to generate the desired data. 


Report Filters


Filter Description
Location The location where the appointment took place
Staff The staff member who performed the service during the date range and location selected
Service Category The category to which a service belongs
Service The name of the service
Date This range will determine the appointments that were booked during the date range selected.
Revenue At

If Revenue at time of purchase is selected:

  • The gift card column will be visible, allowing revenue from gift card sales to be displayed.

  • The prepaid column will be displayed

  • Revenue from items paid with a membership, package, or gift card will be recorded in the prepaid column and deducted from the gross revenue. 

  • The full revenue for membership purchases will be displayed 


If Revenue at time of use is selected:

  • The gift card, membership, and package columns will be hidden, which means that revenue from gift card, membership and package sales will not be displayed 
  • The prepaid column will be hidden; however, prepaid revenue (revenue from services, classes, or products redeemed through memberships, packages, or gift cards) will be displayed in the respective columns and included in the gross and net amounts after deducting discounts and refunds


If Revenue at time of use legacy is selected:

  • The gift card column will be hidden, which means that revenue from gift card sales will not be displayed
  • The prepaid column will be hidden, so prepaid revenue will not be shown.
  • No revenue will be displayed for items that were paid for with a membership item credit or package
  • Membership value credits will be deducted from the membership revenue


Report Columns


Column Description
Resource Displays the name of the resource
Appointment Time The appointment start time and date
Appointment # The classifying number associated with an appointment. Clicking this link opens the appointment modal in Schedule
Ticket The classifying number associated with a ticket. Clicking this link opens the ticket in MyTime POS
Client Client associated with the appointment. Clicking this link opens the client's profile
Family Member/Pet Family member/pet associated with the appointment. Clicking this link opens the family member's/pet's profile
Staff The staff member who performed the service 
Service Revenue Service revenue earned for the date range selected. Prepaid amounts will be deducted from the service revenue when "Time of Use" is selected
Prepaids Includes package, gift card, referral credit, membership item, and value credit redemption. The Prepaid column will not be displayed if the "Revenue at the time of use" filter is selected
Refunds Includes refunds for all item types (service, product, membership, package, gift card, misc. fee, cancellation fee) during the date range selected
Environmental Fee Environment fees collected during the date range and location selected
Total Total service revenue generated for the date range selected (Service Revenue - {Refunds + Environmental Fees})
