Membership Roster Report

Modified on Mon, 2 Nov at 3:24 PM

The Membership Roster report provides a comprehensive view of all client memberships. Use this report to track member counts (new vs. existing), monitor plan statuses, analyze collected revenue, review contract durations, and project recurring cash flow.

Things to Know:

  • The ability to access this report is governed by the "Accessing Reports" access control setting.
  • Franchise Businesses: This report is accessible at both the parent (brand) and child (individual location) levels. Parent accounts can view and filter data across all child locations.
  • A client is included in the report if their membership was active at any point during your selected date range. Even if a membership was cancelled, expired, or deleted later, it will still show up as long as it was active during the dates you selected.
  • Deleting a membership does not remove it from past reports. If it was active during your chosen date range, it will still appear.
  • Pet Businesses:
    • Displays the pet’s name next to the owner (e.g., John Smith (Buddy)).
    • Displays (deceased) if the pet has passed away (e.g., Buddy (deceased).
  • This report is hidden for businesses that do not offer memberships.
  • How Future Projections Are Calculated:
    • Weekly Plans:
      • Weekly Fee × 52÷12
    • Bi-Weekly Plans (Every 2 Weeks):
      • Bi-weekly Fee × 26÷12
    • Monthly Plans: Standard monthly fee.
      • Current Month: Monthly fee minus what the client already paid this month (floor of $0). If a membership ends or cancels within the current month, this month projects at $0.
      • Future Months: Full months calculate the full monthly fee. Partial months (e.g., mid-month start or cancellation) are prorated by active days.
    • Frozen / Paused Plans: Projects the pause fee until the scheduled unfreeze date, then resumes projecting the standard monthly fee.
    • Paid-in-Full (Upfront): If set to auto-renew, projects the full renewal fee on the scheduled renewal date. If not auto-renewing, it projects at $0.
    • $0 Projections: Cancelled, expired, suspended, free, or skipped memberships project at $0.
  • For presale memberships, the report displays both the purchase date (when it was sold) and the start date (when it officially begins).
