Client Preferred Location vs Associated Locations

Knowing the difference between a client’s preferred location and their associated locations helps staff personalize communication and deliver a better experience. For businesses with multiple locations, the address displayed in emails and automated messages depends on several factors, including the client’s location preferences and history. This article explains how preferred and associated locations work and how they influence the address shown in client communications.


Things to know:

  • If the client’s preferred location is closed (e.g., part of a child company that no longer operates), emails will show the address of the location that sent the message, even if it’s part of a different child company. Example: If Sandy’s preferred location is Greenwich (under Child A) but it closes, and she visits Lancewood (under Child B), automated messages will show Lancewood’s address.
  • The client's preferred and associated locations do not affect transactional automated messages, as these messages are only sent from the location where the transaction took place. 
  • Preferred and associated locations would not affect the booking widget, as clients are required to select the location they will book with when booking or purchasing gift cards, memberships, or packages online. 



Preferred vs. Associated Location: Definition and Key Differences

  • The location was manually assigned when the client record was being created, or in the case where an account only has one location, the location will be automatically assigned when the client record is created on the Clients tab.
Automated MessagesAutomated marketing messages (such as Flash Sale and Client Engagement templates) will include the address of the client's preferred location if multiple locations exist.
Automated messages may reflect the associated location of the client based on their activities and preferences, such as:
  • The client has or had an appointment or class enrollment
  • The client purchased a product, membership, package, or gift card
  • The account has only one location
CampaignsIf the client is associated with multiple locations, has a preferred location set, and all locations were selected when sending the campaign, the campaign received will display the preferred location's address.
  • If the client is not associated with any location, they will be excluded from the recipient list, and you won't have the ability to send them any campaigns.
  • If the client is associated with locations A and B within the same franchise and the campaign is sent to all locations, the client will receive a single email.
  • If the client is affiliated with franchises A, B, and C, and a campaign is sent by all of them, the client will receive an email from each respective franchise.


Impact of Preferred vs. Associated Location On Manual Campaigns

Examples:

  • If the client is associated with locations A (first location added), B, and C, and the campaign was sent to all locations, the campaign will display location A's address 
  • If the client is associated with locations B, C, and D, and the campaign is sent to all locations, the campaign will display the address of location B.
The client is associated with multiple locations, does not have a preferred location, and the campaign was sent from Location BThe campaign will display the address of Location B
The client is associated with multiple locations; the preferred location is Location A, but the campaign was sent from Location BThe campaign will display the address of Location B

The client is not associated with any location

The client will be excluded from the recipient list and cannot receive any marketing campaigns.
