Prepaid services are services booked online where the payment was already collected. In this article, we will walk through the steps to edit prepaid appointments.
Things to know:
- For credit card payments, MyTime places a hold on the client's card and authorizes the charge 2 hours after the appointment is completed. In the event you want to adjust the final amount (e.g., add new services, or tips) before the credit card transaction finalizes, you can edit prepaid tickets during this 2-hour window.
- Prepaid tickets will appear on the appointment date in the “Services” sidebar on the POS → New Ticket page and under the Open Tickets report in POS. They can also be accessed from the appointment modal on the schedule and from the client’s profile.
- For prepaid appointments booked online, you can adjust the service price in POS even after the payment has been processed.
- Prepaid appointments cannot be transferred to a new ticket
- Once the prepaid ticket is closed, it cannot be edited
Editing Prepaid Services
- Navigate to POS
- On the new ticket page, all open prepaid tickets will appear in the “Services” sidebar for the current date and past dates
- Click to open the ticket
- A pop-up will appear indicating that payment has already been taken on the ticket. Select "Yes" on the pop-up.
- Once opened, the ticket will behave like any other POS ticket with pre-payment on it. The last 4 digits of the card along with the 'Settle Payment' link will be displayed

Before settling and closing the ticket, you can make changes to the prepaid service. Changes to the existing appointment (additional service, tips, add-ons) will be added to the existing pending credit card payment, however, new items (gift cards, products, membership, or packages) will become payable:
- If another service is added to the ticket, this increases the amount that will be charged to the credit card

If you should add a product to the ticket, it will not be added to the existing pending credit card payment. You will have to take payment for the difference using the "Take Payment" button
- You will be directed to the payment screen where you can select the payment method the client wants to use to pay for the product and then select the "Done" button
- The ticket will be saved, so navigate to the 'Open Ticket' tab and open the ticket

Now you can close the ticket by doing the following:
- Use the “Settle Payment” link to settle the credit card payment. Here you can choose to add a tip > Charge
- Next, select the "Close Ticket" button. Two hours following the appointment, the ticket will close and no further processing will occur, similar to other prepaid online tickets. The ticket will show up in the report on Closed Tickets.
The ticket will also be accessible from the client profile or the appointment modal
