Managing Appointment Requests

For businesses that have configured their account preferences to keep online bookings in a "pending state" until manual approval, appointments initiated online are regarded as requests.

Things to know:

  • When a client schedules an appointment online, they will receive a notification informing them that their request has been received if the automated message template "Appointment Request" is enabled. In addition, the pending appointment alert will appear in the notification center (bell icon) located at the top left-hand corner of your account and on the scheduler.
  • You can view the appointment by clicking on the alert and then decide whether to accept or decline it.
  • After confirming the appointment, its status will change to "Booked," and the client will receive a confirmation if the automated message template "Booked by Client" is enabled.
  • If the appointment is declined, its status will be updated to "Canceled," and the client will receive a notification of cancellation if the "Appointment Cancellation" template is enabled.
  • In case of rescheduling, the appointment time will be adjusted accordingly, and the client will receive a notification with the updated details.
  • After confirming the appointment, its status will be changed to "Confirmed," and a green dot will appear on the appointment tile for easy identification.

Configuring Appointment Request Setting

  1. Navigate to Business Setup > Settings IMG_0329.jpeg
  2. Locate the "How Should Online Bookings Be Handled?" setting. Below the setting, there will be 2 options to choose from; "Always accept online bookings (when you are available)" and "Keep online bookings in a 'pending state' until you manually approve them"
  3. Select "Keep online bookings in a 'pending state' until you manually approve them"
  4. Save 

Managing Appointment Requests

To manage appointment requests:

  1. Navigate to your schedule 
  2. Locate the pending appointment IMG_0332.jpeg                                  If there's ample space in the appointment tile, you'll see the "Accept" and "Change" buttons, allowing you to accept or reschedule the appointment according to your preferences. If the appointment tile lacks space to display these buttons, they will appear upon hovering, as demonstrated below.                                                                IMG_0506.jpeg
  3. If you prefer to perform the action from the appointment modal, click on the appointment
  4. Here, you can accept the request, reschedule it, confirm it or decline it based on your preferences
