A resource is any item necessary for a service that must be booked in conjunction with that service. With MyTime's resource booking feature, you can keep track of your resources to ensure that you always have the necessary items available when scheduling an appointment. In this article, we will guide you through the steps of scheduling appointments with resources.
Things to know:
- To schedule appointments with resources, resources must be configured on the account. Learn more here.
- You can assign resources to all services or selected services. Learn more here.
- Resources displayed in the resource dropdown can be sorted by availability with available resources displayed at the top and currently occupied resources listed at the bottom alongside the words "Occupied,". However, this is managed by a hidden setting that can only be enabled by the MyTime team. To activate this setting, please contact our Support Team at support@mytime.com. Once the hidden setting is enabled, if a resource is at capacity or unavailable, it will be displayed in grey italics but can still be selected.
- When booking a service with a resource in-store and the resource is at capacity, a warning notice will appear informing you that there is a conflict at this time for the resource being scheduled. This notice only serves as a caution and does not prevent you from saving the appointment.
- Details of appointments scheduled with resources can be seen in the Calendar Utilization report.
- For core services requiring multiple resources, if they are booked alongside other services or add-ons that share one or more of the same resources, different resources will typically be assigned to each service or add-on. However, to ensure that the same resource is consistently assigned to both core and add-on services when booking an appointment online, a hidden setting can be enabled by the MyTime team. - By default, when an unavailable resource is selected, the system automatically replaces it with an available resource. However, there is a hidden setting that can be enabled to allow an unavailable resource to be assigned to the appointment. This feature is managed by a setting that only the MyTime team can activate. To activate this setting, please reach out to our Support Team at support@mytime.com.
Scheduling an Appointment that Requires a Resource
- Navigate to the Schedule
- Filter by location
- Click on the ‘New Appointment’ button below the calendar on the left-hand side of the Schedule or on a specific time slot directly in the schedule

When the appointment modal opens, you can search for an existing client using the search field or add a new client using the icon on the right-hand side
- Once the client is added to the appointment modal, you can proceed to select the time and date, staff, and service
- When you select a service with a configured resource, the resource field will automatically appear, displaying the resource name and quantity. If multiple resources are assigned to the service, clicking the dropdown arrow or the "+" button will allow you to select a different resource.
- Once you’ve adjusted your resources, click "Save"
- After saving, you will see the appointment on the schedule displaying the name of the resource configured with the service(s)
