Exporting client data is essential for businesses to manage client information efficiently. Whether for marketing campaigns, data analysis, or maintaining up-to-date records, the ability to export client information can streamline various aspects of your operations. This article will guide you through the process of exporting client data from our platform, ensuring a smooth and efficient experience.
Things to know:
- The "Allow Access to Client Configuration & Import/Export Tool" access control setting controls the ability to export client information
- For franchise businesses with global clients activated, the client list cannot be exported at the parent level.
- When exporting clients, pets, vehicles, or family members, the system exports all default fields as well as any custom fields.
- Global clients can be exported from the child level by removing the filtered location from the location filter. Once done, all global clients will be displayed.
- When exporting clients you have the option to export either all clients or only those that meet certain filtering criteria:
- Export Clients - This option exports the entire client base, excluding details related to pets, family members, or vehicles.
- Export Filtered Clients - With this option, you can export client information based on applied labels and specific filters. This allows for a more targeted export, including only the clients that meet certain criteria or have specific attributes.
- Export Children - This option focuses on exporting information related to children (pets, family members, and vehicles where applicable)
To export your client list in MyTime:
- Navigate to the Clients tab
- Select the Manage Clients drop-down menu > Click "Export Clients / Export Filtered Clients / Export Children" option
- A CSV file will be downloaded and saved to your device
This export will include the following data:
Column | Description |
client_id | This is the external ID of the client. If your clients don't have a client_id, this will be blank |
client_first_name | The first name of the client |
client_last_name | The last name of the client |
mytime_client_id |
The MyTime unique ID for the client |
deleted | This column determines if the client should be deleted or not. "FALSE" to not delete the client or "TRUE" to delete the client |
gender | 1 will be present for female and 2 for male |
date_of_birth | Birthdate of the client |
client_since | The date the client first visited |

mobile_phone | Mobile phone number of the client |
home_phone | Home phone number of the client |
work_phone | Work phone number of the client |
street_address | Street Address of the client's home |
street_address_2 | Second street address line of the client's home |
city | City of the client's home address |
state | State of the client's home address. Two-letter state code e.g. CA/NY/NV |
zip | Zip code of the client's home address |
country | Two-letter country code e.g. US |
can_receive_automated_emails | Is the client permitted to receive appointment-related emails? (Enter 1 for yes and 0 for no) |
can_receive_automated_sms | Is the client permitted to receive appointment-related SMS (text messages)? (Enter 1 for yes and 0 for no) |
can_receive_manual_emails | Is the client permitted to receive an email campaigns? (Enter 1 for yes and 0 for no) |
can_receive_manual_sms | Is the client permitted to receive SMS campaigns? (Enter 1 for yes and 0 for no) |
can_receive_manual_sms_confirmed_at | If this field is present, the client is double opted in. Format - Year-Month-Day Hour:Minute: Second Timezone. Example: 2021-09-20 13:05:20 UTC |
contact_preference | The client's preferred contact method - 'Email', 'Text Message', 'Home Phone', 'Work Phone', or 'Mobile Phone'. |
notes | Client notes found on the client's profile |
labels | The labels assigned to the client |
custom_field X | This will display the UUID of the field for any custom fields |
preferred_employee_id | This is the employee_id of the employee |
preferred_location_id | This will display the store ID for the location that is set as preferred on the client's profile |
associated_location_ids | This is the location IDs of the locations the client is associated with. |
associated_mytime_location_ids | This is MyTime's location ID for the locations listed in the business which is also the number on the top right-hand corner of the 'Edit Location' modal to fill the Store ID field |
