Things to Know:
- Membership credits can be set to expire after a specific number of days within the membership template. However, enabling the expiration feature for membership templates is controlled by a hidden setting that only the MyTime team can activate. To enable this feature, please contact support@mytime.com.
- The hidden setting must be enabled at both the parent and child levels. If the setting is not enabled at the child level, the membership cannot have a custom expiration set or modified.
- Custom credit expirations configured for global memberships are visible at the child level but cannot be modified there
- Expiration for global memberships can be configured only at the parent level

Credits Expiration for Accounts With Hidden Setting Enabled:

Membership credits (both item and value) will expire based on the expiration date set in the membership template. If no custom expiration is set, they will expire one year from the last charge.

Credits do not expire with each charge; instead, they expire on the specific date outlined in the membership template.

If credits are set to roll over, the option to add an expiration for membership credits will be disabled on the membership credits tab.

Credits Expiration for Accounts Without Hidden Setting Disabled:

Membership credits expire with each charge cycle.

If the membership includes rollover, any expired credits are added to the new credits created at the next charge.

If the membership has no rollover, expired credits are lost at each charge, and only new credits are created and usable.

Memberships without rollover and without credit expiration will retain their credits until they expire, which is one year from the date of issuance.

Configure Membership Credit Expiration
To set up membership credit expiration on the membership template, once the setting is enabled:
1. Go to Location Setup > Membership
2. You can either add a new membership or click the edit icon to modify an existing membership
3. From the 'Membership Credits' tab, click the 'Set for how long credits will be valid' hyperlink to specify the credit expiration period
4. From here, you can customize the credit's validity by selecting whether the credits should expire after a specific number of days, months, or years using the dropdown menu
5. Once updated, click the "Publish Membership" button at the bottom of the screen to save the changes
The expiration dates configured for membership credits will also appear in the membership section of the client's profile when viewing the credit details.
Membership Scenarios
1. Memberships with the "Rollover Unused Credits" option set to "Yes" and the credit expiration hidden setting disabled will not allow configuration of credit expiration dates. For these memberships, a new batch of credits, along with any rollover credits, will be added at each successful recurring charge.
2. Memberships with the "Rollover Unused Credits" option set to "No" and the credit expiration hidden setting disabled will not allow you to configure credit expiration dates. In this case, new credits will be provided at each successful recurring charge, while any unused credits will expire.
3. For memberships with the "Rollover Unused Credits" option set to "No" and the credit expiration hidden setting enabled, you will not be able to configure credits to rollover. The rollover option will not appear on the membership in the client's profile. In this case, membership credits do not expire with each successful recurring charge but rather on the custom expiration date (set to a 90-day duration). A new batch of credits will be created at each successful recurring charge, with the same expiration duration that was configured.
Changes To Membership Template
1. Changing the membership setting from the configurations in example #1 or #2 to #3 will have the following impacts:
- The rollover option will no longer be visible or editable, and it will be turned off on the client profile.
- The last batch of credits will retain its original expiration date (90 days if set) and will not expire upon the next successful recurring charge.
- Both the last and current credit batches will be visible, with editable expiration dates.
2. Changing the expiration duration in example #3 from 90 to 120 days will have the following impact:
- The last batch of credits will retain its initial expiration date (90 days), while the new batch of credits created during the successful recurring charge will have the updated expiration (120 days).
- The rollover option remains hidden, and credit batch expiration dates remain editable on the client's profile.
