Importing Client Labels

You can import client labels into MyTime to help organize and segment your client list. Labels are custom tags (like “VIP” or “Follow-up”) that appear on client profiles, making it easier to filter, search, and send targeted marketing communications.


Things to know:


  • The ability to import labels is controlled by the "Manage Client Setup" access control setting.
  • Labels can be used to:
    • Filter your client list to show only clients with selected labels
    • View labels directly from the client list
    • Send marketing emails and campaigns to specific groups of clients
  • The default import template for new clients does not include a "labels" column, so you'll need to manually add it to the spreadsheet before importing.
  • You can assign multiple labels to a client in the spreadsheet by separating each label with a comma (e.g., VIP, Top Client, Follow-up).
  • Once imported, client labels are sorted alphanumerically by default:
    • Symbols appear before numbers
    • Numbers appear before letters

Import Labels for New Clients


  1. Go to the Clients tab
  2. Expand the Manage Clients menu and select Import Clients
  3. On the import page, click Download template
  4. Open the downloaded Excel spreadsheet
  5. The template will not include the labels column, so you will be required to add it. Scroll to the right to locate the custom_field1 column
  6. Change the column title from custom_field1 to labels
  7. In the first row beneath that column, enter the name of the label you want to assign
  8. Scroll back to the left and fill in the corresponding client's information in the same row
  9. Download the spreadsheet:
    • At the top left-hand corner, click File
    • Hover over download
    • Click Comma Separated Values (.csv)
  10. Return to the Import Clients page and click Upload
  11. Select the downloaded CSV file from your device
  12. Click the Import button

The client will be added to your system with the assigned label(s).



Importing Labels for Existing Clients

  1. Go to the Clients tab
  2. Expand the Manage Clients menu > Export Clients
  3. Open the exported Excel spreadsheet
  4. Locate the client you wish to label or change label
  5. Enter the label name in the corresponding cell (you can add multiple labels separated by commas)
  6. Click File > Download > Comma Separated Values (.csv) to save the updated sheet
  7. Go back to Clients
  8. Expand the Manage Clients menu and select Import Clients
  9. Click Upload and select the updated .csv file 
  10. Choose the downloaded Excel spreadsheet with the client list from Step 6
  11. Once the file appears on-screen, click Import

Your client(s) will be updated with the new labels, which will appear both in the Labels column and on each client’s profile.
